Guidance Associates of Pennsylvania: Policies

Clients are seen by appointment except in cases of emergency. If you make an appointment and are unable to keep it, please call us as soon as possible so that we can use this time for other clients. If you do not give at least 24 hours notice, you may be charged for a late cancellation.

If you have an emergency after hours, call the office and the answering service will connect you with a counselor.  The association of several therapists under one roof provides for continuous care as well as access to additional consultation.

Your first session is an assessment session. The therapist will discuss your concerns and other pertinent information. You will be given information regarding future services based on the assessment data. Occasionally, it may take two sessions to complete the assessment process.

Guidance Associates of Pennsylvania does not guarantee insurance reimbursement for the assessment. A diagnosis will be rendered at the conclusion of your first visit. Your insurance company will determine from the diagnosis rendered whether the insurance company will pay for the visit.

The professional staff at Guidance Associates of Pennsylvania consult with physicians and attorneys as necessary in order to provide comprehensive and coordinated treatment of clients.

Guidance Associates adheres to both federal and state guidelines. Under no circumstances will information regarding clients be released without the client’s full consent in writing. Due to the nature of our services, we are frequently required to provide certain information to insurers, Probation/Parole Departments, and employers. In each of these cases your rights will be explained.

If it is not possible for you to keep your scheduled appointment, it is important that you notify the office 24 hours prior to that appointment. In the event that you do not come for your scheduled appointment and do not provide adequate notification, you may be charged the full fee including the amount normally covered by insurance.

All client payments are due in full at the beginning of each session. Fees may be paid by check, cash, credit card or debit card unless otherwise specified.

In the event that you are seen for SPECIALIZED services, it is customary that a retainer will be required before services are rendered. If you have any questions about your account status, please contact the office manager at 1-717-732-2917.

If your account goes into default, you will be responsible for all collection cost (the current rate increase is 30%), including attorney’s fees plus court costs. Be advised that your confidentiality regarding billing information will automatically be waived.

Guidance Associates will make every effort to respond to or resolve a complaint and/or concern regarding services. If you have a problem, first discuss it with your therapist. If a discussion with your therapist does not produce a resolution, you have the right to address your concerns with the Clinical Director or designee. You will receive a written response within 10 business days.

If you have questions and/or problems about your treatment, please discuss them with your therapist or Clinical Director.
